Effective October 13, 2026

Who we are

MyAIVoiceAgent is operated by Legacy AI LLC Company Limited, a company registered in Hong Kong at Room 1701, 17/F, Wai Fung Plaza, 664 Nathan Road, Mong Kok, Kowloon, Hong Kong. In this policy, “we”, “us” and “our” refer to Legacy AI LLC Company Limited.

This policy covers:

  • Customers: businesses that use MyAIVoiceAgent, and the people who sign in to manage them.
  • Callers: people who phone a business that uses a MyAIVoiceAgent voice agent.
  • Chat visitors: people who use the chat on a business's website.
  • Visitors: people who use our website or join the waitlist.

Questions or privacy requests can be sent to support@myaivoiceagent.ai.

If you called a business that uses our agent

The business you called decides how your information is used, and we process it on their behalf to answer your call. For questions about what they do with it, contact that business. We'll help them respond to your request, and you can also write to us.

At the start of the call the agent tells you that it is an AI assistant and that the call may be recorded. That notice is on every call and the business can't switch it off, as set out in our User Agreement. If you'd rather not go on, you can hang up and contact the business another way.

When you call, we process:

  • Your phone number, and the time and length of the call.
  • What is said on the call. Speech is converted to text as the call happens, and we keep a written transcript of the conversation.
  • Details you give the agent, such as your name, phone number, email address and the reason for your call, which it saves as a message or a lead for the business.
  • A short summary of the call, written by an AI model from the transcript.

If you call the same business again, the agent may recognise your number and greet you by the name you gave before.

We don't store audio recordings of calls in our own systems. Our voice infrastructure provider may keep call audio for a short time for diagnostics, under its own retention terms.

If you chat on a business's website

Some businesses put a MyAIVoiceAgent chat on their website. As with calls, the business decides how your information is used, and we process it on their behalf to answer you.

When you use the chat, we process:

  • The messages you and the agent write, and the time of the conversation.
  • The address of the page you started the chat on.
  • Details you give, such as your name, phone number, email address and the reason you got in touch, which the agent saves as a message, a lead or an appointment for the business.
  • A random identifier your browser keeps in its local storage, so a conversation carries on if you reload the page.
  • Your IP address, which we turn into a one-way hash to limit misuse of the chat. We don't store the address itself.

If you're a customer

We collect:

  • Account details: your name, email address and password, or your Google account name and email if you sign in with Google.
  • Business details: business name, industry, address, time zone, opening hours, service area, and the descriptions and instructions you give your agent.
  • Content you give us: your website, which we read so your agent can answer from it, documents you upload, and your logo.
  • Phone connection details: the numbers you use with the service and, if you connect your own phone provider account, the credentials for it. We store the secret part of those credentials encrypted.
  • Billing details: your plan, add-ons and payment status. Card details are handled by our payment processor, and we don't store full card numbers.
  • Connected calendars: if you connect a Google or Microsoft calendar, the information described under “Connected calendars” below.
  • Notification preferences: whether you want an email after every call and a summary each morning. We send those emails to the address you sign in with.
  • Messages to us: support requests and requests for new industries, including your email address.

Connected calendars

You can connect a Google Calendar or a Microsoft Outlook calendar so your agent doesn't offer callers times when you're busy, and so the appointments it books appear on your calendar. Connecting is optional, and you can disconnect at any time from the Calendar page in the app.

When you connect a calendar, we access:

  • Your account's email address, to show you which calendar is connected.
  • When you're busy: the start and end times of busy periods on your main calendar. We keep only those times. We don't store the titles, attendees, locations or contents of your events.
  • The events we create: when your agent books an appointment, we add an event to your calendar with the caller's name, phone number and the reason for the appointment, and we remove that event if the appointment is cancelled. We don't change or delete any other event.

We store the access tokens the provider gives us encrypted, along with your account email, the busy times we read and the identifiers of the events we created. When you disconnect, we delete the tokens and the busy times straight away. Events already added to your calendar stay there, since they are yours.

We use calendar information only to keep your agent from offering busy times and to put its bookings on your calendar. We don't sell it, use it for advertising, or use it to train AI models, and our staff don't read it unless you ask us to for support, it is needed for security, or the law requires it.

MyAIVoiceAgent's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

If you visit the website or join the waitlist

  • Waitlist: your name, work email, company name, website and industry.
  • Technical information: our hosting and security providers process your IP address, browser type and request logs when you use the site.
  • Analytics: we use Vercel Web Analytics to count page visits. It doesn't use advertising cookies.

How we use information

  • To answer calls and website chats for our customers and pass them messages, leads and appointments.
  • To keep a connected calendar's busy times out of the times the agent offers, and to add its bookings to that calendar.
  • To email you about your calls, if you have chosen to receive those emails.
  • To run your account, your agents and the app.
  • To bill for the service and manage your subscription.
  • To manage the waitlist and tell you about access and product updates.
  • To provide support and respond to your requests.
  • To keep the service secure, prevent misuse, and fix problems.
  • To improve the service, for example by finding calls the agent handled badly.
  • To meet legal obligations.

We use customer information to perform our contract with you, and we rely on our legitimate interests to secure and improve the service. We send waitlist and product emails with your consent, which you can withdraw at any time with an unsubscribe link or by emailing us.

We don't sell personal information, and we don't use callers' information or customers' content to train AI models.

Who receives information

We use service providers to run MyAIVoiceAgent. They process information only to provide their services to us, or where the law requires.

  • Vercel: website and app hosting, and web analytics.
  • Supabase: database, sign-in and file storage.
  • LiveKit: real-time voice infrastructure for calls.
  • Telnyx: phone numbers we provide and the calls to them.
  • Soniox and Deepgram: converting callers' speech to text.
  • Cartesia, Soniox and ElevenLabs: the agent's voice.
  • OpenAI and Groq: the AI models that hold the conversation on calls and in the website chat, summarise calls, and read your website and uploaded documents. OpenAI also converts your website and documents into a searchable form for your agent.
  • Firecrawl: reading your website.
  • Google: sign-in, if you choose to sign in with Google, and Google Calendar, if you connect it.
  • Microsoft: sending our emails to you, and Outlook calendar, if you connect it.
  • Discord: internal notifications to our team about waitlist signups and industry requests.
  • Our payment processor: taking payments.

If you connect your own phone provider account, such as Twilio, calls to that number pass through your account with them under their terms.

We may also disclose information if the law requires it, to protect people or the service, or as part of a merger, financing, acquisition or sale of business assets.

International transfers

Legacy AI LLC Company Limited and its providers may process information in Hong Kong, the United Kingdom, the United States, the European Union or other countries. Where the law requires it, we use contractual or other approved safeguards for these transfers.

How long we keep it

  • Call transcripts, chat conversations, messages and leads: for as long as the customer's account is active, unless the customer asks us to delete them sooner.
  • Connected calendar data: while the calendar is connected. Tokens and busy times are deleted when you disconnect.
  • Account, business and content data: for as long as the account is active.
  • When an account closes: we delete its data within 90 days, after the 30-day window in which the customer can ask for a copy.
  • Waitlist: while the waitlist is active and for up to 12 months after our last relevant contact with you.

We may keep a minimal record for longer where we need it to meet legal, tax or accounting obligations, resolve a dispute, or honour an opt-out.

Security

We protect information with access controls that keep each customer's data separate, encryption in transit, and encryption of stored phone provider credentials and calendar access tokens. No system is completely secure, and we'll tell affected customers without undue delay if a breach affects their data.

Your choices and rights

Depending on where you live, you may have the right to access, correct, delete, restrict, or receive a copy of your information. You may also object to certain uses or withdraw consent. Email us to make a request. We may need to verify your identity first. If you're a caller, we may pass your request to the business you called, since they decide how your information is used.

You may also complain to your local data protection authority. This may include the UK Information Commissioner's Office or the Office of the Privacy Commissioner for Personal Data in Hong Kong.

California

This section applies to California residents and adds to the rest of the policy.

  • Callers. For callers' information we act as a “service provider” to the business that was called. We use it only to provide the service to that business, under our contract with them, and not for our own purposes.
  • No selling or sharing. We don't sell personal information, and we don't share it for cross-context behavioural advertising. We haven't done either in the past 12 months.
  • What we collect. Identifiers such as name, email and phone number, business and billing details, the content of calls and chats as text, and internet activity such as request logs. The sections above say where each comes from, why we use it and who receives it.
  • Your rights. You can ask to know what personal information we hold about you, to have it corrected or deleted, and to receive a copy. We won't treat you differently for asking. Email support@myaivoiceagent.ai, or have someone you've authorised do it for you. If you were a caller, your request goes to the business you called and we help them answer it.

Cookies

We use only the cookies the site needs to work:

  • Sign-in cookies that keep you logged in to the app.
  • A cookie that remembers whether you collapsed the app's sidebar.

The website chat keeps a random identifier and the identifier of your current conversation in your browser's local storage, so the chat continues if you reload. It isn't used to track you across sites.

We don't use advertising cookies. We'll update this policy before adding any cookies that need your notice or consent.

Children

MyAIVoiceAgent is for businesses and adults aged 18 or over. We don't knowingly collect personal information from children for our own purposes. A business's agent may occasionally take a call from a child, and that information is handled like any other caller's.

Changes to this policy

We may update this policy as the product and our data practices change. The effective date at the top shows when it was last revised. We'll give customers notice by email or in the app when a material change requires it.
